Unqo Properties is operated by Unqo Digital Solutions CC, a close corporation registered in Namibia. This policy explains how we collect, use, store, share, and protect your personal information when you use our mobile app, website (unqoproperties.com), or agent portal.
By using the Platform, you confirm that you have read and agreed to this Privacy Policy.
2. Legal Framework
Electronic Transactions Act 4 of 2019 (Namibia) - governs digital contracts and data processing.
Communications Act 8 of 2009 (Namibia) - governs electronic communications and user data protection.
Estate Agents Act 112 of 1976 - governs agent licensing and professional compliance.
SADC Data Protection Principles - applied as we expand regionally.
GDPR / POPIA - applied as international best practice benchmarks.
3. Information We Collect
Account Information
Full name, email address, phone number, password (encrypted), and account type.
Agent Professional Data
NamREC number, Fidelity Fund Certificate (FFC), government-issued identity document, agency name and address, and number of agent seats.
Banking & Payment Data
Bank name, account type, account holder name, and preferred debit date.
Important: Raw bank account numbers are processed and tokenised exclusively by our payment processor, DPO Pay. Unqo Properties does not store raw bank account numbers.
Usage & Device Data
Device type, OS, IP address, pages viewed, search queries, session duration, and crash reports.
4. How We Use Your Information
- Create and manage your account
- Verify agent credentials and FFC validity
- Display and manage property listings
- Facilitate messaging between seekers and agents
- Process subscription billing via DPO Pay
- Send account, billing, and FFC expiry notifications
- Detect fraud and maintain platform security
- Comply with Namibian law and maintain audit logs
5. Data Sharing & Third Parties
We do not sell your personal data. We share data only with:
DPO Pay: Payment processor for debit order billing. PCI-DSS compliant.
Cloudinary: Media storage for property photos and agent documents. Documents stored with authenticated access — not publicly accessible.
Neon Postgres: Database provider. All data encrypted at rest.
Email provider: Transactional emails only. Processes email addresses solely for delivery.
6. Data Security
- Passwords hashed — plain-text never stored
- Bank account numbers tokenised by DPO Pay — not in our database
- Identity documents stored in Cloudinary with private authenticated URLs
- All data in transit encrypted via HTTPS/TLS
- All data at rest encrypted in our database
- Administrative access restricted and logged
- All admin actions recorded in an immutable audit log
7. Data Retention
Active account data: Retained while account is active.
Closed accounts: Retained 12 months after closure, then deleted or anonymised.
Payment records: Retained 5 years per Namibian financial regulations.
Identity documents: Retained for account duration plus 12 months.
Audit logs: Retained 3 years.
Usage data: Retained 12 months in identifiable form, then anonymised.
8. Your Rights
- Access — request a copy of your personal data
- Correction — request inaccurate data be corrected
- Deletion — request deletion of your account and data
- Object — object to processing based on legitimate interests
- Withdraw consent — at any time where processing is consent-based
- Data portability — request your data in machine-readable format

9. Age Restrictions
Property seekers must be 16+. Agent and agency accounts require users to be 18+. We do not knowingly collect data from individuals under 16.
10. Cookies
We use only essential session cookies required for the website to function — such as remembering your login state. We do not use third-party analytics or advertising cookies. The mobile app does not use browser cookies.
11. Changes to This Policy
We will notify you by email at least 14 days before any material changes take effect. Continued use of the Platform constitutes acceptance.
